Royal World Travel India- Payment Terms and Conditions Policy

Following are the general terms and conditions for all services provided by us:

1) Hotels & Airline Bookings ( International & Domestic )
2) Meals
3) Transport services - Transfers, Sightseeing Tours & Excursions
4) Travellers who need Special Assistance Comprehensive Insurance Plan
5) Cancellations & Refunds

HOTELS & AIRLINE

We act only as an agent for the hotels and airlines recommended to you for your tours. Our rates are based on the prevailing rates as negotiated by us with the hotels and published fares of the airlines. The rates include all presently applicable taxes. All hotel prices are based on the meal plans as outlined in the final tour costs. The usual 'Check in' & Check out' time for the hotels is 12 Noon. All tour prices are based on the above times unless otherwise indicated. The hotels / airlines retain the right to modify the rates or the terms and conditions any time at their discretion. We will make every effort in the case of such a revision to maintain its quoted tour prices, but cannot be held liable for changes beyond our control.

MEALS

We will provide the meals as indicated in each itinerary. We hold the right to alter / change the predetermined venue without prior notice.

TRANSFERS SIGHTSEEING TOURS & EXCURSIONS

a) All airport and train station transfers include transportation and the assistance of our representative who will assist you in the check-in/check-out process.

b) All sightseeing tours and excursions include transportation and services of local English speaking guides. Guides speaking other languages are available upon request and are subject to additional charges. Since the services of other language guides may not be available in some cities, sufficient notice is advisable to allow us to reserve the services of the desired language guide.

c) Sightseeing tours or excursion rates do not include any lunch or soft drinks, etc. unless specifically mentioned otherwise.

d) The capacity of an ordinary car is maximum three persons plus the driver. Buses have maximum capacity of 30 passengers including the guide and driver.

TRAVELLERS WHO NEED SPECIAL ASSISTANCE

Any disability requiring special attention should be reported to us at the time of reservation. We will make reasonable attempts to accommodate the special needs of disabled tour participants, but we will not be responsible for any denial of services by carriers, hotels, restaurants and other independent suppliers. We regret that it may not be possible to provide individual assistance to a tour member for walking, dining, and getting on and off motor coaches and other transportation vehicles or other personal assistance. The member should be accompanied by a qualified companion.

RATES & PAYMENTS

AN EXPLANATION OF OUR FEE STRUCTURE

Customized individual trips are not pre-planned; the planning and booking process begins again with each individual client. As a rule such trips cost about 35-40 % more than brochure tour packages, as group rates for hotels and transportation do not apply. The process of making reservations in smaller hotels is complicated and costly, & should be taken into account when you receive your final pricing. It will reflect the cost of the hotel room and the cost of making the reservation.

All rates for our tours are quoted in US Dollars unless otherwise requested or stated. Full payment should be remitted in Foreign Exchange towards the cost of tour arrangements by following methods:

a) Wire Transfer (Bank / Telex transfer) in the following format for Euro / US Dollar Remittance :

b) Payments can also be made through either MASTER / VISA credit cards. We will need your credit card number with its expiry date and an authorization letter by you enabling us to charge it. In a very exceptional case, payments can also be sent in advance through the guests, (in cash or Travelers Cheques only) which should be handed over to Royal World Travel (India) on their arrival in India.

CANCELLATIONS & REFUNDS

You may cancel your booking at any time prior to the commencement of the tour by notifying us in writing. If you cancel on or before 40 days before the first day of your tour, then we will retain your deposit to cover our administrative costs and any advance deposits made to hotels. In addition, if the cancellation notification is received less than 45 days prior to the first day of the tour then the additional cancellation charges shall be as follows :-
From 44 to 29 - 20%
From 28 to 15 - 40%
From 14 to 05 - 55%
Less than 5 -100%

LIABILITIES

  • Royal World Travel (India) is working as an agent for carriers, keepers of inns, hotels, boarding or lodging houses, restaurants, transport operators, railways, cruises and other such set of services.

  • The Company arranges ticket bookings and reservations only as agents for their clients who accepts the laid out terms and conditions of the carriers, hotels, accommodation providers or other service providers with whom the company may have arrangements for their clients.

  • The Company is not liable for cancellations of journeys, deviations, delays or the failure to provide seats or berths or the facilities to carry or sort the luggage or failure to provide accommodation.

  • The Company is not liable in the event of any alteration or change of any kind made by any of the service providers even after accepting the bookings by them and client will remain responsible for any such increase in charges or changes that may entail.

  • The Company on behalf of their suppliers and agents do not accept any responsibility for any act, omission, default or neglect of themselves, their suppliers and agents or of the suppliers and agents of the sub-agents or their agents of the service providers for injury, damage or loss to persons of goods, whatsoever and howsoever the same may be caused, and they do not warrant and are in no way responsible for the accuracy of any information given or statements made by the suppliers and agents or those given or made by the travel services and agents.

COMPREHENSIVE INSURANCE PLAN

It is suggested that a comprehensive insurance plan should be purchased by the clients prior to the commencement of their tour. We recommend the following category, which should also be insured:

a) Trip Cancellation and Interruption
It should cover the payments made for the non-refundable trips by air and or the land cost due to cancellation prior to the departure of the tour or due to interruptions during the trip after departure form your country, which may include events like sickness, injury, etc.

b) Medical Expenses Cover
It should cover the cost for physician, hospitable charges including medicines for treatment, operation, hospitalization, and emergency evacuation due to sickness or injury which may occur or aggravate while you are on your trip.

c) Baggage Insurance
It should cover purchase of clothing and other accessories, which may be required in the event of baggage delayed, stolen or damaged.

d) Trip Delay
It should cover meals and lodging expenses if the trip is delayed for 12 hours or more. Coverage should also include conditions that existed prior to the effective date of service, suicide, normal pregnancy, or any act of war or mental or nervous disorders.

INDIVIDUAL “CUSTOM” TOUR TERMS & CONDITIONS

Our custom tour services are tailored to your interests and personal schedule and are not part of a published package tour. These are fee-based services, which include individualized tour planning, communication and service charges and incur cancellation penalties. Tours are based on three categories Super Deluxe, Deluxe & Luxury - they are best differentiated by the level of accommodations and other ground services provided.

TOUR COST

  • Initial consultation, and introductory package at no charge.

  • Based on the selected level of your tour - Services include: accommodations, breakfast daily, private chauffeur driven cars, airport transfers, sightseeing with private guides, local representatives, introductions to local hosts, shopping & dining guide, reading materials, Itinerary planning, communications and service fees.

  • Not included: International or domestic airfare, airport taxes, meals unless specified, passport & visa services, personal costs.

  • Your exact costing can only be determined after booking your custom itinerary and may differ based on individual requirements. Surcharges will apply for Private Planes, Single rooms, Suites & Luxury Cars.
BOOKING PROCEDURE & DEPOSITS

  • Upon reviewing the Terms & Conditions, if you wish to proceed with planning an itinerary, send the enclosed completed Client Information Form, signed Summary & Checklist of these Terms and Conditions with a $150 non-refundable itinerary planning fee (fee applicable to total tour cost)

  • We will draw up a suggested outline itinerary for you to review. Upon acceptance of the itinerary, to begin the booking process we require signed authorization to book your tour and a non-refundable booking deposit of $500.00 per person (deposit applicable to total tour cost).

  • Three weeks after the booking deposit you will be sent an itinerary with a booking status and a general destination information package including health, visas, weather and other travel formalities.

  • Thirty days later you will be sent an Itinerary with a final status and Tour Cost.

  • Full tour payment is due 60 days prior to departure and must be received along with a signed responsibility waiver before a detailed itinerary and final tour documents can be sent out. Tour prices are all inclusive and breakdown of costs cannot be provided. Without full payment and signed responsibility waiver tour arrangements will be canceled and applicable cancellation costs will be charged.
CHANGES / SURCHARGES

  • First Change in itinerary after initial draft no charge.

  • Subsequent rerouting, hotel & air changes $100 per change.

  • Reservations made less than 30 days prior to departure, incur late booking fee of $100 per person.

  • Changes while on tour incur a handling charge of $ 50 per change and all additional accommodation, transport & communications costs associated with the change. As these arrangements have been pre-paid, there will be no adjustments or refunds for any unused services.
